In this paper, by means of various studies and researches, I will try to expound close relationship between effective communication and successful organizations.
Major Transformations
According to Colin Cherry, the first formal study of communications can be traced back to 1689. In 1913, Hugo Munsterberg readily mentioned the necessity of effective communication in his book, ‘Psychology and Industrial Efficiency.’ According to many sources, Dale Carnegie is responsible for the first effective communication tools development for successful business organization. Carl Rogers developed non-directive interviewing and effective communication techniques in 1942. Even Paul Pigors, in 1949, claimed that effective communication is a joint process to have successful firm and co-operative environment at workplace.
The major transformations and developments in effective communication were mostly reported in the literature during the period from World War II through the 1950s including wide-ranging and somewhat significant efforts. Further, in late 1990s and early 2000s, various new researches and theories emerged to clearly define the nature of basic concepts of effective communication, information, and application of different types of communication tools for achieving success on professional and personal levels.
Types of Communication
According to the definition, the process of exchanging information through expressions, messages, opinions, symbols, and signs is called communication. Basically, communication can be classified in four kinds, which are applied in several manners, which depend on the mediums and requirements through which information is exchanged.
Verbal Communication
Verbal communication consists of sounds, speech, and language. Oral communication is a persuasive mode of interacting and verbally expressing own thoughts and ideas. Further, this type of communication is categorized into intrapersonal communication, interpersonal communication, small group communication, and public communication.
Intrapersonal Communication
Such a type of communication is particularly limited; it includes silent conversation with ourselves. Such communications are discussed verbally with someone or often remain enclosed as opinions.
Interpersonal Communication
It occurs between two persons, thus it is a face to face communication. The participating individuals may switch their characters of receiver and sender for the purpose of clear and stable conversation.
Mini Group Communication
Mini group communication consists of more than two individuals. However, the amount of participants is quite limited, allowing each person to communicate and interact with each other. Team meetings, press conferences, and board meeting are some of the examples of limited group conversations. If specific topic is not being communicated, then such mini group conversations often become disorganized and hard to follow by everyone, which can end up into misunderstandings and miscommunications.
Public Communication
Public communication happens when one person delivers speech in front of a big audience. Public speeches, election campaigns are some types of public communication. There is generally one sender and many receivers of information in this model.
Nonverbal Communication
Nonverbal communication manages to deliver the sender’s message without having to communicate orally. It involves the use of physical ways of communication, such as expressions, touch, and voice tone. Also, sign and symbol language is characterized as nonverbal communication. Body postures convey a lot of nonverbal messages, while communicating with someone. Shaking hands, touching, patting, expressing feelings, facial expressions, eye contact, gestures are all various forms of nonverbal communication. Creative forms of nonverbal communication include dancing, music, and sculpturing. Nonverbal communication surpasses all other types of communication because of its effectiveness and usage.
Written Communication
It is a type of communication in which the sender conveys the message with the help of written words. E-mails, articles, letters, journals, and memos are some types of written communication. The main advantage of written communication is its flexibility. Written messages can be edited and modified before the delivery. Therefore, creating written communication is an indispensable element of formal and informal communication. This form of communication enhances effectiveness of visual communication, especially when the messages are conveyed through electronic devices, such as phones, laptops, and visual presentations with the use of words or texts.
Visual Communication
Visual communication consists of the graphic orientation of concepts, where the idea is conveyed by means of graphic techniques. For instance, photography, symbols, topography, maps, designs, posters, and banners assist the viewers to grasp the message graphically. Movies, television, video clips, plays are electronic forms of graphic or visual communication. The most effective example of graphic or visual interaction is the websites which communicate with the public, combining the mixture of images, texts, designs, and links.
Effects of Different Types of Communication
Different kinds of communication play a crucial role in success of any organization. Verbal communication serves as important organization function by assisting to develop common meanings for individuals within the organization. Also, it helps to clarify key values and demonstrate how things are done within an organization to secure capital for the firms. Effective communication directly affects on the job of employees. According to the National Commission on Writing, 91 percent of companies in America, take writing into account when hiring professional employees. Growth of social values, personal development, and increase in the overall intellectual level of society are the result of the total effect of the common types of communication.
Problems in Communication
There are number of problems that can impede the communication process. Rakich, Longest, and Darr classify these barriers into environmental and personal barriers. Environmental barriers are characteristic of the company and its environmental setting. Personal problems in communication arise from the nature of individuals and their interaction with others.
Environmental Problems
Examples of environmental problems include competition for attention and time between senders and receivers. Simultaneous and multiple demands cause messages to be incorrectly decoded. Other environmental problems include the organization’s multiple level of hierarchy, managerial philosophy, and status or power relationships between receivers and senders. Communication between people who use different terminology can be idle simply because misunderstanding can occur due to unfamiliar terminology.
Personal Problems
Personal barriers in communication arise due to an individual’s frame of reference or beliefs and values. On the basis of one’s socioeconomic background and prior experiences, messages are encoded and decoded. A lack of empathy is another main personal barrier in communication. In other words, insensitivity to the emotional states of receivers and senders create the barrier in fulfillment of effective communication.
Tools for Proper Communication
Being clear, concise, concrete, correct, coherent, complete, and courteous are some of the important factors for proper and effective communication. These factors allow the person to develop well-organized and clear meetings, emails, reports, conference calls, and presentations, so that targeted audience gets message effectively and efficiently. Besides it, employee publications like, paper or electronic, employee intranet, emails, memos, small and large group meetings, social media, power point slides, webinars are some effective tools for proper communication. Employee publications, paper or electronic, keep employees informed of business information, progress, and goals. Employee intranet is an effective communication tool for promotion of philosophy, values, principles, awards, information of founders and organizational successes. Emails, memos carry ongoing day-to-day communication and update on important announcements or changes. The acceptance of tools depend on the strategic goals, the profit of the target audience, the objectives of the communication program, the various pros and cons of each tool, and the communications budget. According to the demands and requirement of the organization, specific tools will be adopted. Regardless of accepted tools, consistency is the most important in the linguistic style, tone and appearance used in communication. Without consistency, the message would not reach to the target audience effectively.
Opposing Viewpoint and Examples of Successful and Unsuccessful Communication
Despite the growing popularity of social tools of communication, many critics have raised question about actual effectiveness of communication tools. Lack of social culture, public participation, training, access, and willingness are major reasons behind the challenges faced by social tools of communication. Without development of fundamental communicative culture, any company would not be able to expand and reinforce social interaction. Without interest of team members and inadequate trainings, organization is unable to utilize total advantage of effective communication tools, remaining low-profile, unnoticed, and nose-to the grindstone.
Understanding the audiences’ needs and expectations and creating respect and rapport between the parties, are the main keys for successful and effective communication. In contrast, poor, unsuccessful communication includes lack of co-operation, incorrect messaging, improper directions and issues related to speaking, listening, and writing.
